The Administrative Assistant’s main role is to directly support the General Manager on a day to day basis, and they will act as the ‘key contact’. The Administrative Assistant should be agile daily to keep up with the fast-paced and vibrant environment, ensuring alignment of priorities defined by the General Manager.

This role will report to theGeneral Manager – Internationaland will be based in Paris.

RESPONSIBILITIES:

Manage the complex and changing diary of the General Manager, including scheduling meetings, meeting conflicts, and day to day bookings and logistics.

Collaborate with internal and external stakeholders to ensure that the General Manager does not miss urgent and time sensitive information and is kept abreast of all information at the earliest opportunity.

Provide administrative support for General Manager and team, such as, but not limited to, ordering office supplies, note taking of meetings, if needed and required by the General Manager, and more.

Triage incoming requests, phone calls, emails, and other correspondence.

Partner with travel manager to coordinate travel arrangements, including itineraries of General Manager.

Keep a clear and concise communication style, engaging with General Manager proactively with updates on calendar items and questions that require his input.

Manage General Manager’s expense reports, including timely expense claim submissions and financial management, handling such matters with discretion and privacy.

Liaise with cross functional partners with General Manager’s schedule, ensuring to prioritize the key meetings and stakeholders’ needs.

Maintain strong working relationships with other departments and admins within the organization.

Perform other tasks and responsibilities as assigned.

REQUIREMENTS:

5+ years as an Administrative Assistant to a Senior Director in a fast-paced Global team.

Business Administration experience or equivalent qualification.

Experience of working in a similar role within the beauty or cosmetics industry.

Proactive, ‘can do’ attitude, with an open mindset.

Exceptional organizational skills and attention to detail.

Excellent verbal and written communication skills.

Willingness to collaborate with internal and external stakeholders, managing complex diaries across various time zones.
